TASKUL AI Privacy Policy

Free Company Co., Ltd. ("we", "us", or "our") establishes the following Privacy Policy ("this Policy") regarding the handling of User personal information in the cloud service "TASKUL AI" ("Service"), in compliance with the Act on the Protection of Personal Information of Japan ("APPI") and other applicable laws and guidelines.

Article 1 (Definition of Personal Information)

In this Policy, "Personal Information" means personal information as defined in Article 2, Paragraph 1 of the APPI, that is, information about a living individual that can identify the specific individual by name, email address, or other descriptions (including information that can be easily collated with other information, thereby enabling identification of the specific individual).

Article 2 (Personal Information We Collect)

We may collect the following personal information in providing the Service.

2-1. Information you provide directly

  1. Name (display name)
  2. Email address
  3. Profile image
  4. User Content entered into the Service, such as project information, task information, client information, meeting memos, and minutes

2-2. Information obtained via Google authentication

  1. Name, email address, and profile image registered in the Google account
  2. Google Calendar data when Google Calendar integration is enabled (only with your explicit permission)

2-3. Payment-related information

  1. Credit card information (securely processed and stored by Stripe; we do not directly hold card numbers)
  2. Billing information and payment history

2-4. Automatically collected information

  1. IP address, browser type, OS, device information
  2. Access logs, operation logs, and feature usage
  3. Identifiers stored in cookies and local storage
  4. Usage data collected through Google Analytics and Microsoft Clarity (page views, session information, heatmaps and session replays of user behavior, etc.)

Article 3 (Purposes of Use)

We use collected personal information for the following purposes:

  1. Providing, operating, and maintaining the Service
  2. Identity verification and authentication of Users
  3. Billing and payment processing
  4. Providing AI Features (project auto-structuring, task auto-generation, context memory, etc.)
  5. Service announcements, update information, and support
  6. Sending notifications for tasks and schedules via LINE
  7. Service improvement, new feature development, and quality enhancement
  8. Usage analysis and creation of statistical information
  9. Display and optimization of advertisements and promotions within the Service
  10. Information about services provided by us or our partners
  11. Fraud detection, prevention, and security
  12. Compliance with legal obligations

Article 4 (Third-Party Provision and Outsourcing)

We do not provide User personal information to third parties except in the following cases:

  1. When the User consents
  2. When required by law
  3. When necessary to protect the life, body, or property of a person, and it is difficult to obtain the User's consent
  4. When specifically necessary to improve public hygiene or promote the sound upbringing of children, and it is difficult to obtain the User's consent
  5. When necessary to cooperate with a national agency, local government, or a party entrusted by such an agency in executing duties prescribed by law
  6. When provided in connection with a business transfer

We may entrust the handling of personal information to the following service providers to the extent necessary for providing the Service. In such cases, we will supervise the contractor to ensure appropriate safeguards are in place.

  1. Cloud infrastructure (Google Cloud): Provides data storage and processing infrastructure
  2. Authentication (Firebase Authentication): User authentication processing
  3. Payment processor (Stripe): Credit card payment processing. Stripe manages information in accordance with PCI DSS-compliant security standards
  4. AI provider (OpenAI): Data processing necessary for providing AI Features. Data sent via the OpenAI API is not used for model training, in accordance with OpenAI's data usage policy
  5. Notification service (LINE): Sending LINE notifications configured by the User

Article 5 (Cookies and Tracking Technologies)

  1. We use cookies and similar technologies on the Service.
  2. We use the following third-party analytics tools:
    1. Google Analytics: Used for website traffic analysis. Google Analytics uses cookies to collect usage data but does not include information that identifies individuals. Data is processed in accordance with Google's privacy policy.
    2. Microsoft Clarity: Uses heatmap and session replay features to improve the user experience. Clarity automatically masks sensitive information such as passwords. Data is processed in accordance with Microsoft's privacy policy.
  3. Users can decline to accept cookies through their browser settings. However, declining cookies may prevent the use of some features of the Service.
  4. To opt out of Google Analytics, please use the Google Analytics Opt-out Browser Add-on provided by Google.

Article 6 (Data Storage Location and Security)

  1. User personal information is stored on servers on Google Cloud Platform (including Japan regions).
  2. We implement the following security measures to prevent leakage, loss, or damage of personal information:
    1. Encryption of communications (SSL/TLS)
    2. Database encryption
    3. Strict access control
    4. Regular security audits
    5. Secure authentication via Firebase Authentication
  3. We provide appropriate education and supervision to our employees regarding the handling of personal information.

Article 7 (User Rights)

Users may make the following requests to us based on the APPI:

  1. Disclosure requests: You may request disclosure of the personal information we hold about you.
  2. Correction, addition, or deletion requests: If the content of your personal information is inaccurate, you may request its correction, addition, or deletion.
  3. Request to stop use or erase: If your personal information is being handled beyond the scope of the stated purposes or was obtained improperly, you may request that its use be stopped or that it be erased.
  4. Request to stop third-party provision: If your personal information is being improperly provided to third parties, you may request that such provision be stopped.

7-2. Opt-out

You may opt out of the following:

  1. Use of data for AI feature improvement (configurable from the Service's settings screen)
  2. Marketing and promotional emails (configurable via unsubscribe links in emails or the settings screen)
  3. Google Analytics tracking (via the Google opt-out add-on)

7-3. Account deletion

You may delete your account from the Service's settings screen. After account deletion, personal information will be deleted within 30 days of the deletion request. Deletion from backup data may take up to an additional 90 days. Data with legal retention obligations will be deleted after the period specified by law.

Article 8 (Personal Information of Minors)

  1. The Service is generally intended for users aged 18 or older.
  2. Users under 18 must obtain the consent of their legal guardian to use the Service.
  3. If we discover that we have collected personal information from a user under 18 without the consent of a legal guardian, we will promptly delete such information.

Article 9 (Changes to This Policy)

  1. We may revise this Policy due to changes in law, changes to the Service, or other reasons.
  2. For material changes, we will notify Users at least 14 days before the effective date by posting on the Service or via email.
  3. The revised Privacy Policy takes effect when it is posted on the official Service website.
